Privacy Policy
Version 0.4, last published 17 September 2026.
1. Introduction
Delta Tutoring (“Delta”, “we”, “us”) is committed to protecting the personal information of students, tutors, and other individuals we interact with, in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).
2. Information Officer
Nchavelelo Hlongwane — (+27) 79 322 8286 — info@deltatutoring.co.za
3. What information we collect
Application and registration details (name, contact details, institution, module/year of study); academic information (modules, progress tracking via the SSS Rubric, session notes); payment information (EFT references, banking details for tutor payouts); communications between students, tutors, and Admin.
4. Why we process this information
To match students with subject-appropriate tutors and deliver tutoring sessions; to process payments and payouts; to track academic progress; to resolve disputes and complaints; to comply with legal and tax obligations.
5. Data retention
Financial and accounting records: 7 years (Companies Act). Tax-specific records: 5 years (SARS standards). Messages: 5 years (FICA). Other categories (academic records, application data) do not yet have a stated retention period.
6. Confidentiality
Each party (Delta, tutors, and students) is required to keep confidential any personal, academic, or family information shared in the course of tutoring, and to use it solely for the purpose of providing or receiving tutoring services.
7. Staff access to messages
Authorized Delta Tutoring staff (Super Admin and Admin-level accounts only) can access the content of messages sent through the platform’s messaging feature, for support, dispute-resolution, and safety purposes. Every time a staff member opens a conversation they are not personally part of, that access is logged. This does not change the confidentiality obligations in clause 6 above – staff are held to the same duty to keep what they see confidential and to use it only for these purposes.
8. Data subject rights
Under POPIA, you generally have rights to access, correct, and request deletion of your personal information, and to object to processing. Contact the Information Officer above to exercise these rights.
9. Cookies and website tracking
This section will be completed once a cookie/tracking approach is finalised.
10. Third-party sharing
Payment processing is currently manual EFT with no third party involved. A future payment gateway will introduce a third-party processor once selected, and this section will be updated at that time.
11. Changes to this policy
Delta Tutoring may update this Privacy Policy from time to time. Material changes will be communicated to registered users.
